Overview

You will play a vital role in supporting the Catering and Convention Services team to ensure the seamless execution of events across our 295,000 sq. ft. of meeting and event space. This role is responsible for preparing Banquet Event Orders (BEOs), managing client communications, maintaining event documentation, and partnering closely with Banquets and other resort departments to deliver exceptional guest experiences. This is your opportunity to work behind the scenes on incredible events that make lifelong memories for our guests. Responsibilities

    • Prepare, update, and distribute Banquet Event Orders (BEOs) accurately and on schedule.

    • Answer incoming calls and respond promptly to client inquiries with professionalism.

    • Manage client communications through email, ensuring timely follow-up and accurate information.

    • Utilize Delphi on a daily basis for event booking, updates, and tracking.

    • Maintain and update the change log for all events, ensuring details are current and communicated.

    • Distribute RESUME packets and all event documentation to relevant hotel departments.

    • Partner with Banquets, Culinary, Audio Visual and Front Office teams to ensure smooth event execution.

    • Assist with site tours, pre-event meetings, and client walk-throughs as needed.

    • Maintain organized and up-to-date files, contracts, and event records.

    • Support the Catering and Convention Services Manager with client requests, event changes, and on-site coordination.

    • Assist with post-event follow-up, including billing accuracy and client feedback.

Qualifications

  • 1–2 years of experience in hospitality, catering, conference services, or related field preferred.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple projects and priorities in a fast-paced environment.

  • Proficiency in Microsoft Office Suite; experience with Delphi or similar event management software preferred.

  • Strong interpersonal skills with the ability to work effectively with diverse teams and clients.


Physical Requirements:

  • Ability to stand and walk for extended periods during site tours and event days (up to 8 hours).

  • Ability to occasionally lift and carry up to 25 pounds (event materials, décor items, BEO packets).

  • Ability to climb stairs and navigate multiple floors and meeting spaces throughout the resort.

  • Visual acuity to review event orders, diagrams, and documents accurately.

  • Stamina to work flexible schedules, including early mornings, evenings, weekends, and holidays during high event demand.
