Overview

The Purchasing Manager is responsible for overseeing all purchasing and receiving functions at our full-service resort with 671 guest rooms and 295,000 sq. ft. of meeting space. This role manages food, beverage, and operating supply procurement, ensures timely and accurate deliveries, and maintains strong relationships with vendors to support all departments across the property. The ideal candidate will have a mix of hands-on experience in hospitality purchasing, exceptional organizational skills, and the ability to perform physically demanding work in a fast-paced resort environment. Responsibilities

  • Oversee day-to-day purchasing and receiving operations, including ordering, delivery scheduling, and inventory control
  • Manage food and beverage procurement, including high-volume alcohol orders, with a focus on accuracy and cost control
  • Ensure timely and efficient delivery of the Red Trolley Package (guest deliveries) across departments and guest rooms
  • Establish and maintain strong relationships with vendors, negotiating terms and monitoring service levels
  • Monitor and maintain appropriate stock levels for key departments including culinary, housekeeping, engineering, events, and retail outlets
  • Maintain compliance with sanitation and storage guidelines (FIFO, HACCP, etc.)
  • Track and verify all invoices, purchase orders, and receipts for accuracy and proper coding
  • Collaborate with Accounting to ensure timely payment of vendors and resolution of discrepancies
  • Supervise and train purchasing and receiving team members, including scheduling and performance oversight
  • Communicate daily with department heads to ensure accurate fulfillment of operational needs
  • Conduct regular audits of inventory, storerooms, and vendor performance
  • Coordinate with security and loss prevention teams on high-value or controlled item deliveries

Qualifications

  • Minimum 3–5 years of purchasing experience in a high-volume resort, hotel, or similar environment
  • Strong knowledge of food, beverage, and hospitality supply chain management
  • Proficiency in purchasing and inventory systems (BirchStreet, Craftable, etc.- not required but preferred) and Microsoft Office Programs
  • Excellent communication and negotiation skills
  • Proven ability to manage vendor relationships and inventory accuracy
  • Bilingual (Spanish/English) preferred
  • Valid driver’s license and clean driving record
  • Must be able to work weekends and holidays when needed

Physical Requirements:

  • Must be able to lift, push, and carry up to 75 lbs frequently
  • Must be able to stand, walk, and move actively throughout the property for extended periods (up to 8 hours/day)
  • Frequent bending, stooping, and climbing stairs
  • Ability to operate pallet jacks, hand trucks, and small utility vehicles
  • Work involves indoor and outdoor exposure including loading docks, walk-in refrigerators/freezers, and storage areas
  • Must be able to operate delivery carts throughout the property, including transporting guest and department deliveries
